Privacy Policy for the OptimCall Pipedrive App

This Privacy Policy explains how OptimSys s.r.o., a company incorporated under the laws of the Czech Republic with its registered office at Domovina 752/8, 77900 Olomouc, company registration number 26833972, VAT number CZ26833972 (“OptimSys”, “we”, or “us”) collects, uses, stores, and protects personal data when you use the OptimCall Pipedrive App (the “App”).

This policy applies only to data processed by the App in connection with its integration between the OptimCall phone system and the Pipedrive CRM platform and does not apply to the core OptimCall service, which is governed by its own separate privacy policy available from OptimSys.

By using the App, you agree to the practices described in this Privacy Policy.

1. Data Controller

OptimSys acts as a data processor under the GDPR for personal data processed via the App. The data controller remains the Pipedrive account holder who installs and uses the App.

2. Personal Data Processed

When the App is installed, the App may process the following data:

• your Pipedrive user name,
• contact names with associated phone numbers,

This data is retrieved from your Pipedrive environment via API calls.

The App may also store the following data back into Pipedrive:

• call recordings attached to activities

We do not permanently store your CRM data outside of what's necessary for the App to function. We do not use any data for analytics, marketing, profiling, or any purpose unrelated to the functioning of the App.

3. Purpose of Processing

Your Pipedrive user name is stored to enable the App to call Pipedrive API.

Contact names with associated phone numbers are stored on our backend to:

• improve App performance,
• reduce the volume and cost of Pipedrive API calls

4. Legal Basis for Processing

The legal basis for processing is our legitimate interest. Our legitimate interest lies in enabling the App’s core features while minimizing API usage and associated costs.

5. Data Storage and Retention

Your Pipedrive user name is stored in our database while the App is installed and is removed from our database once you uninstall the App.

The mirrored contact names with associated phone numbers are shared among all users of your Pipedrive. They are stored in our database while any user within your Pipedrive has installed the App and is removed from our database once all users within your Pipedrive uninstall the App.

6. Data Sharing

We do not share your data with third parties, except when required by law.

7. Data Security

We implement appropriate technical and organizational measures to protect personal data against unauthorized access, accidental loss, destruction, or alteration. While no method of transmission over the Internet or electronic storage is 100% secure, we strive to use commercially acceptable means to protect your personal data.

8. Your Rights under GDPR

Under the GDPR, you have several rights regarding your personal data, including the right to access, correct, erase, restrict processing of, or request portability of your data. You also have the right to withdraw consent at any time, where relevant.

9. Policy Updates

We may revise this Privacy Policy from time to time. Updates will be published through the App interface or on our website. Continued use of the App constitutes acceptance of the updated policy.
